One working system
Client onboarding, with nobody chasing.
We start every new client by chasing the same ten documents by email for three weeks.
Client onboarding
Each new client is asked only for the documents still missing, every upload is checked as it arrives, and staff see who is complete and who has gone quiet.
What it does
From a new client to a complete file, in four steps.
One link, one short list
The client opens a single link on a phone and sees exactly what their file still needs, nothing more.
Each upload is checked on arrival
A form from the wrong year is caught while the client is still on the page. The right one is read and matched to the document, the year and the name.
Unclear items wait for a person
A blurry photo is sent back to the client, and anything the system cannot be sure of is set aside for staff.
The file completes and the work opens
Staff clear the few items that needed their eyes. When the last one is done the work item opens by itself.
Ownership
You own it. All of it.
The checklist for each kind of client is your firm's know how. It is stored where your staff can edit it, and the uploads land in storage you control.
Hire or own
What the hire costs, and what this costs
Chasing documents is the part of onboarding that takes weeks and needs no training. Take it away and one coordinator can carry more new clients, or the role can be about welcoming people.
When the hire is the right call
Clients who need a conversation to understand what is being asked of them need a person. So does any firm whose document list changes case by case.

Questions buyers ask
Before you ask for your version
What if a client uploads the wrong thing?
They are told straight away, on the same screen, what was expected. In the demonstration a wage form from the previous year is refused and the right one accepted.
Can clients do this from a phone?
Yes. The demonstration client photographs her documents and uploads them from her phone through a single link.
Does anyone review what the system accepts?
Staff see a short list of the items the system was unsure about and clear each one. Everything else is filed without them.
What kinds of firm is this for?
Any firm that cannot start work until a set of documents arrives. The demonstration follows one tax client, and the checklist is the part that changes.
How does the firm know a file is complete?
The work item opens by itself when the last document is accepted. Nobody has to check a folder or send a reminder.
