One working system
The front desk rebooker, filling the schedule.
Patients who cancel never get rebooked, and my front desk has no time to call them.
Front desk
When a patient cancels, a text offers times that are really open, the empty slot is offered to the waitlist, and patients who are overdue for a visit are invited back.
What it does
A cancellation becomes a filled slot, in four steps.
A cancellation gets a text with real openings
The patient says when suits them and is offered times that are actually open on the schedule.
The patient picks, and the schedule updates
One reply books the visit. Nobody at the desk retypes anything.
The empty slot goes to the waitlist
The opening is offered to waitlisted patients one at a time, best match first, until someone takes it.
Overdue patients are invited back
Patients past the recall interval the office has set get an invitation, a few each day, and book from the reply.
Ownership
You own it. All of it.
The recall rules and the order of the waitlist are decisions for the people who run the office. They sit in the system as settings you can change, in accounts the office holds.
Hire or own
What the hire costs, and what this costs
Rebooking is work a busy desk has no time for, because the phone in front of it is ringing. The system does the calling back by text, so the coordinator you have, or the one you bring in, is free for the patient standing at the counter.
When the hire is the right call
Anything clinical, any bill in dispute, and any patient who would rather talk needs a person at the desk.

Demonstration system, sample data
Every patient, appointment and time in it is invented. It gives no advice about care and holds no real patient information.
What it costs
Three public prices. Nothing per user.

Questions buyers ask
Before you ask for your version
Does it give medical advice?
No. It offers appointment times and nothing else, and anything clinical is passed to a person.
How does it choose who gets a freed slot?
From the waitlist, best match first. If the first patient passes, the next one is asked.
Is patient information used to build our version?
No. The customized version uses invented patients. How real patient information would be handled is written into a signed agreement before any live connection, and your compliance adviser may review it.
Does it answer the phone?
No. This system works by text on cancellations, the waitlist and recalls. Answering calls is a different system.
How do we know it is working?
The system keeps a tally of openings filled, patients rebooked and chair time recovered. The tally in the demonstration is from invented appointments.
