One working system
The knowledge desk, answering from the documents.
The answer exists somewhere in our documents, and people ask the same three colleagues every day.
Knowledge desk
Staff ask a question in plain words and get the exact passage from the company's own documents, with the source named and restricted documents kept restricted.
What it does
How a question gets answered, in four steps.
The answer comes with its source
A question typed in plain words comes back as the exact passage, with the name of the document and the section it sits in.
A disagreement is shown, not hidden
When two documents give different answers, both passages are quoted and the newer document is named.
No answer means no guess
If nothing in the documents covers the question, the desk says exactly that and records the question as a gap.
Restricted stays restricted
A coordinator who asks about a restricted document is told it exists and shown none of it. A manager asking the same thing gets the passage.
Ownership
You own it. All of it.
The index is built from your documents and lives in an account you hold. Add a policy or retire an old one and the answers follow, without a licence to renew for each person who asks.
Hire or own
What the hire costs, and what this costs
Much of a knowledge manager's week can go to answering the same questions by hand. The desk takes the answering, which leaves a person free for the part that needs authority: deciding what the company's answer should be.
When the hire is the right call
If your documents contradict each other or have never been written, hire the person. Software can find an answer that was written down, and only someone with authority can write it.

Demonstration system, sample data
The demonstration runs on a made up handbook, price list and pair of expense policies. The salary document in it is invented too.
What it costs
Three public prices. Nothing per user.

Questions buyers ask
Before you ask for your version
What does a knowledge manager do that software cannot?
Decide what is true. The desk can show that two policies disagree and which is newer, and it lists the questions nobody has written an answer for. Choosing the answer and getting it written stays with a person.
Will it make up an answer?
The demonstration is built so that every answer is a quoted passage that can be found word for word in its source. When no passage fits, the reply is that the documents do not cover it.
How does it handle documents that not everyone may read?
Each document carries who may open it. Someone without access learns only that a restricted document exists, and a manager who asks the same question sees the passage.
What would the customized version contain?
Sample documents shaped like yours: the kinds of policies, price lists and procedures your staff ask about, written by us as stand ins. Your real files are not needed for it.
How do we find out what is missing from our documents?
Managers get a list of the questions asked most and the ones that found no answer. That list is the writing backlog a knowledge manager would otherwise build by hand.
