Fill Cancelled Appointments Automatically: A Front Desk Rebooker for Clinics
Filling cancelled appointments automatically means that when a patient cancels, a text offers times that are really open, a same day opening is offered to the people on the waitlist who can take it, and patients overdue for a visit are invited back in small batches. We built a working front desk rebooker as a demonstration on sample data. We have not yet delivered a system for a clinic or a medical practice: this is a demonstration. Texts carry only a day, a time, a length and a first name.
The problem, in the owner's words
The owner's sentence is: "Patients who cancel never get rebooked, and my front desk has no time to call them." The gap on Thursday morning stays a gap, because the person who would fill it is on the phone with someone else.
A second leak is quieter: patients who are past the usual interval for a visit and have simply drifted. Nobody has time to find them, so the schedule thins out by itself.
The job this replaces, and what it costs
The role is a front desk coordinator or scheduler. We cite no pay figure: our role data covers AI, systems and marketing roles, and we have not read a sourced figure for front desk staff.
The demonstration keeps every message free of medical content. A visit is a day, a time, a length, a chair and a staff first name, and the test checks every outgoing text for that.
How the demonstration works, step by step
The front desk rebooker below is a demonstration system running on invented sample data. No client uses this front desk rebooker, and nothing in it is a result anyone achieved. Here is the front desk rebooker recording, and below it the same path in order.
- A cancellation opens a rebooking conversation. A patient cancelled their 10:00 AM visit at 8:45 AM; the slot shows Open, 10:00 AM, 60 minutes, and a text asks for a new time.
- The patient's reply is read and up to three real open times of the right length are offered from the schedule: Thursday October 15 at 1:00, 2:00 and 3:00 PM.
- The patient picks 2:00 PM. The visit is booked for 60 minutes with the chosen staff member and the block is tagged Rebooked by text.
- The freed 10:00 slot goes to the waitlist, ranked by who can take it: the length, the day and the time of day. The first patient is offered 8:45 AM and passes, keeping their place. One who has waited longest is skipped because they want afternoons only, and another because they need 90 minutes.
- The next patient is offered the opening at 8:57 AM and takes it. The opening opened at 8:45 and was filled at 9:01.
- Recall invitations go out in batches. Of 12 patients past their interval, a batch of 5 is invited, starting with the longest overdue at 8 months, leaving 7.
What the sample data shows
At the end of the sample day the board reads 2 of 2 openings filled, 3 of 4 rebooked and 3 of 15 recall patients booked, with 7.5 hours of chair time in 8 visits, which is 450 minutes divided by 60.
Every patient, number and appointment is invented, and nothing in it is medical advice. The timings are on a sample clock, so they show the sequence and not what an office will see. The script that walks the path found all 67 facts on screen.
Hire it, rent it or own it
The job a front desk rebooker does can be done by a person, by rented software or by a system you own. This table sets hiring, renting and owning a front desk rebooker side by side, using only what is on this page.
| Hire the role | Rent software | Own a system built for you | |
|---|---|---|---|
| What it costs | Pay and benefits for a coordinator; we cite no figure | A monthly fee for as long as you use it | One fixed fee, from $10,000, quoted after the audit |
| Offering times | Whatever the person has time to check | Often a link to the whole calendar | Up to three really open times of the right length |
| The freed slot | Someone has to think of the waitlist | A broadcast to everyone | Offered to the people who can take it, in order, skipping those it does not fit |
| Messages | Written by staff | Template reminders | Day, time, length, chair and first name only, nothing medical |
What building it for your company involves
To build this for your office we would connect the schedule as you keep it, set your visit lengths and recall intervals and write the texts with you. Which patients may be texted would follow your existing consent.
As stated above, we have not yet delivered a system for a clinic or a medical practice. The prototype on your own schedule is how you would judge whether this one fits.
Tell us the job you would hand over and we build a front desk rebooker around your company. A working prototype on your own data comes first, in 7 to 10 days, and you pay nothing for the build until you have seen the front desk rebooker work. Custom systems such as a front desk rebooker start at $10,000, fixed, and everything we build is yours at handoff. If you want help with the front desk rebooker afterwards, care is $997 a month.
Questions people ask
Do the texts contain health information?
No. In the demonstration a text carries a day, a time, a length and a first name. There is no reason for a visit, no advice and no health claim, and the test checks every outgoing text.
Who does the waitlist offer go to first?
To the first patient who can take the slot by length, day and time of day. Others are skipped with the reason, and a patient who passes keeps their place.
Does it call patients?
No, it texts. People with no reply stay on a list for the front desk.
Have you built a rebooker for a real office?
Not yet. We have not yet delivered a system for a clinic or a medical practice. The dental office and its patients are invented, and the demonstration holds no medical content.
What would a rebooker for our office cost?
It is a custom system from $10,000, quoted as a fixed fee after the $499 audit. A prototype on your own schedule comes first, in 7 to 10 days, and you own the code and accounts when it is handed over.
