Law Firm Consultation Prep: A One Page Brief on the Attorney's Phone Before Each Meeting

Law firm consultation preparation turns each new intake into a one page brief: who the person is, what happened in their own words, what they ask, a conflict check that shows its reasons, the firm's own practice notes and fee sheet, and three questions to ask. The demonstration prepares four invented consultations. The brief reaches the attorney's phone before the meeting, and after it one tap queues the engagement or decline letter for the attorney's signature.

The problem, in the owner's words

The attorney's sentence is: "I read the intake once, in the car, before the consultation." The first minutes of a meeting go to finding out who the person is, which firm notes apply and what the fee would be, when they could go to the person's problem.

The intake already holds most of the answers. What is missing is a page that puts them in one place, checks the names against the firm's list and says where the firm's own guidance applies, before the attorney walks in.

The job this replaces, and what it costs

The role is usually a paralegal or a legal assistant who reads each intake and prepares the attorney. We cite no pay figure: our role data covers AI, systems and marketing roles, and we have not read a sourced figure for paralegals.

The effort is easier to see in the day. In the sample there are 4 consultations and each needs its own preparation, including a conflict check against 31 names on the firm's list.

How the demonstration works, step by step

The consultation brief system below is a demonstration system running on invented sample data. No client uses this consultation brief system, and nothing in it is a result anyone achieved. Here is the consultation brief system recording, and below it the same path in order.

Demonstration system, sample data. About 39 seconds.
  1. The schedule shows 4 consultations today and no briefs built yet. One button, Build today's briefs, builds a brief for each person from their intake, and the count of briefs ready goes from 0 to 4.
  2. A brief opens with who the person is, what happened in their own words and what they are asking for. In the first sample consultation, Dana Whitfield asks whether the firm will take her employment case and what it would cost.
  3. The conflict check compares 3 names against the 31 on the firm's list of clients, former clients and adverse parties. It finds no conflict and shows its reasons: the closest name, Alder Creek Freight Co, a former client, is 70 percent similar, below the firm's 85 percent threshold.
  4. The firm's own notes that apply appear, 2 of them, each tagged Firm document, with the fee from the firm's fee sheet: $300 per hour and a $3,000 retainer.
  5. Three questions to ask are drafted and tagged Drafted, attorney review. They are suggestions for the attorney to edit, not advice.
  6. On the phone page, the brief shows as delivered at 9:20 AM for the 9:30 AM consultation. The delivery is simulated on the page, and the page says so. After the meeting one tap on Engage queues an engagement letter, Queued for attorney signature. Nothing is sent.

What the sample data shows

The board counts the consultations and the outcomes. After the tap on Engage it shows 1 outcome recorded and a letter for Dana Whitfield waiting in the queue. A Decline tap queues a decline letter the same way, and Follow up only sets a reminder.

Every person, company and matter is invented, and the sample contains no legal advice. The summary and the three questions came from a local model on a real run on 2026-10-17 and are stored, so the recording never waits on a model. The script that walks the path passed 14 checks.

Hire it, rent it or own it

The job a consultation brief system does can be done by a person, by rented software or by a system you own. This table sets hiring, renting and owning a consultation brief system side by side, using only what is on this page.

What building it for your company involves

To build this for your firm we would load your list of names, your practice notes and your fee sheet, and read a few of your real intakes to set the brief's layout with you. We would test the conflict step on your known near misses first, and set how long before the meeting the brief goes to the phone.

The customised consultation brief system starts with the $499 AI-Ready Audit, with your money back if it is not worth it. Then comes a consultation brief system prototype built on your real data, ready in 7 to 10 days and free of any build fee. Pricing for a production consultation brief system starts at $10,000 as a single fixed fee, and the code and accounts are yours when we hand over. Care for the consultation brief system, if you want it, is $997 a month.

Questions people ask

Does it decide whether the firm takes the case?

No. It prepares the page. The attorney decides, and the outcome buttons only queue a letter for the attorney's signature.

How does the conflict check work?

It compares each name with every name on the firm's list and shows the closest match with its similarity and the threshold it was held to. A hit holds the consultation for the attorney.

Is this running for a firm?

No. It is a demonstration system on invented sample data: the firm, the people and the matters are made up.

How would consultation briefs run at our firm?

Each morning one tap builds a brief for every consultation on the schedule from its intake. In the sample that built 4 briefs for 4 consultations. A brief shows the person, their words, what they ask, the conflict check, the firm notes and fee, and three questions, and it appears on the attorney's phone before the meeting.

What would consultation briefs for our firm cost?

A custom system starts at $10,000 as one fixed fee, quoted after the $499 audit reads your intake and your list of names. A prototype on your own recent intakes comes first, within 7 to 10 days, and the code and accounts are yours at handoff.
