Law Firm Engagement Letter Automation: From Intake to Signed in One Flow

Engagement letter automation opens the matter from the intake record, checks every name against the firm's conflict list, assembles the letter and fee agreement from the firm's own clauses by rules the firm sets, holds it for the attorney to approve, and takes the client's signature on a phone. We built a working demonstration of that flow on sample data. The attorney stays the one who approves every word that goes out.

The problem, in the owner's words

The owner's sentence is: "A new client says yes on Monday and the engagement letter goes out Thursday." Between the yes and the letter sit the intake notes, the conflict check, the clause lookup, the retainer amount and the chase for a signature.

Every day in that gap is a day the client can change their mind or call another firm. The slow steps are clerical, so they can be done by a system, as long as the attorney decides the substance.

The job this replaces, and what it costs

The role that does this today is a paralegal or a legal assistant, with the attorney approving. We cite no pay figure here: our role pages cover AI, systems and marketing roles, and we have not read a sourced figure for a paralegal.

We have delivered work for law firms: a law firm platform that holds 13,296 matters, a figure measured in August 2026, and five AI phone lines for a named law firm. This demonstration is not one of those; it is a new system built to show the flow.

How the demonstration works, step by step

The engagement documents system below is a demonstration system running on invented sample data. No client uses this engagement documents system, and nothing in it is a result anyone achieved. Here is the engagement documents system recording, and below it the same path in order.

Demonstration system, sample data. About 38 seconds.
  1. An intake row arrives: a business dispute, hourly with a retainer, in Ohio, with the other party named.
  2. The matter opens from the intake record with its own number, and the activity line says it was opened from the intake.
  3. Every name is checked against the firm's list: 3 names against 23. The closest hit is a former client at 74 percent similarity, below the firm's 85 percent threshold, so the result is "No conflict found" with the reason shown.
  4. The letter is assembled from 7 clauses in the firm's library, each tagged "sample clause". The page shows the rules that chose them (fee type, state, matter type) and lists 4 clauses as not used, each with the reason.
  5. The draft is tagged "Drafted text, attorney review required". The Approve button stays disabled until the attorney has reviewed it. In the sample the attorney strikes a $1,000 retainer deposit and enters $1,500.
  6. The client opens a page on a phone, sees the attorney's change and signs with a finger. The signed PDF is filed to the matter and a retainer request is created for $3,500.00.

What the sample data shows

After the run the activity log holds 9 entries and a timer shows the real elapsed time from opened to signed and filed. We do not quote that time as a result, because it measures one recorded run on sample data.

Every person, firm, clause and number is invented, and no statute is cited and nothing in it is legal advice. The script that walks the path passed 14 checks.

Hire it, rent it or own it

The job a engagement documents system does can be done by a person, by rented software or by a system you own. This table sets hiring, renting and owning a engagement documents system side by side, using only what is on this page.

What building it for your company involves

To build this for your firm we would load your clause library, your conflict list and your matter types, and connect the signed PDF to wherever you keep matters. We would test the conflict step on your known edge cases before anything else.

You do not have to choose a engagement documents system on the strength of a demonstration. Order the $499 AI-Ready Audit for your engagement documents system, refunded if it does not earn its price, and we will name the first job to build. We then show you a engagement documents system prototype on your own data within 7 to 10 days, before any build fee. A production engagement documents system is from $10,000, fixed, and you own it when we hand it over; optional care is $997 a month.

Questions people ask

Does this replace the attorney?

No. The draft is tagged for attorney review, and Approve stays disabled until the attorney has reviewed it. The attorney can edit any clause, as the retainer change in the demonstration shows.

How does the conflict check decide?

It compares each name to the firm's list and shows the closest hit with a similarity score against a threshold the firm sets. A person can see why it passed or flagged.

Whose clauses does it use?

In the demonstration, generic sample clauses. In your version, your own clause library, chosen by rules you control, such as fee type, state and matter type.

Is a law firm using these engagement documents today?

No. The firm, the clauses and the people are invented, and the clauses are generic samples. It resembles work we have done for law firms but holds no firm's data and cites no statute or rule.

What would this cost for our firm?

Pricing is a single fixed fee from $10,000, set after the $499 audit looks at your clauses and your matter types. You would see the flow running on your own intake records first, in 7 to 10 days, and your firm owns it at handoff.
