How to Respond to Website Leads After Hours Before They Call Someone Else
To respond to website leads after hours, answer the question the lead actually asked, from your own price page, in a personal text and email within a minute, and offer two real open times so the next step is one reply. We built that as a working demonstration on sample data: a gutter lead arrives at 7:42 pm and, on the sample clock, has a text and an email 42 seconds later with the price worked out and two times to choose from.
The problem, in the owner's words
The owner's sentence is: "Leads come in at night, and by morning they have called someone else." The form goes to an inbox nobody reads until the next day, and the person who asked about a price has by then asked three other companies.
An automatic "thanks, we will be in touch" does not fix this. What a lead wants is the answer they asked for and a way to book, and what an owner wants is to see the whole conversation and be able to step in.
The job this replaces, and what it costs
The role is usually the owner at the kitchen table, an office manager or a night answering service. We give no pay figure for answering leads at night; our role data covers AI, systems and marketing roles, and a sourced figure for that work is not in it.
The effort is easier to see in the timer. In the sample, the three earlier leads were answered in 47, 31 and 55 seconds, 133 seconds across 3 leads, which is 44.3 seconds each.
How the demonstration works, step by step
The speed to lead system below is a demonstration system running on invented sample data. No client uses this speed to lead system, and nothing in it is a result anyone achieved. Here is the speed to lead system recording, and below it the same path in order.
- A web lead arrives. In the sample it is Marcus Webb at 7:42:09 pm, asking about 40 feet of gutter on a two story house and whether you can come this week.
- The first reply is stamped 42 seconds later on the sample clock: 7:42:51 pm minus 7:42:09 pm. It goes as a personal text and a personal email, in the owner's voice.
- It answers the question from the business's own pages and nothing else. Three pages are listed as the only sources: services and prices, where we work, and hours and booking. The price is worked out on screen: 40 feet at $11 per foot for a two story house is $440.
- Two open times come from the calendar, which already holds other jobs: Thursday, Oct 15 at 9:00 am and Friday, Oct 16 at 1:00 pm.
- The lead replies "Thursday morning works for me." The reply is read, Thursday at 9:00 am is booked, a confirmation goes by text and by email, and the estimate visit shows on the calendar.
- The owner can read the whole thread and press take over. Automatic replies stop for that lead and the owner writes in the same thread.
What the sample data shows
The leads board then shows 4 leads, all 4 answered within 60 seconds, and 2 estimate visits booked. The average is shown with its working: 47 + 31 + 55 + 42 is 175 seconds, divided by 4 leads, is 43.8 seconds.
That is arithmetic on invented sample leads, shown so you can see how the board calculates it. It is not a result for any business. The clock is fixed at October 13, 2026, and the 42 seconds is stamped on that sample clock because a real model call takes longer; the screen says so. The demonstration sends nothing, and its path passed 32 checks.
Hire it, rent it or own it
The job a speed to lead system does can be done by a person, by rented software or by a system you own. This table sets hiring, renting and owning a speed to lead system side by side, using only what is on this page.
| Hire the role | Rent software | Own a system built for you | |
|---|---|---|---|
| What it costs | Someone watching the form in the evening, or a night service | A monthly fee for as long as you use it | One fixed fee, from $10,000, quoted after the audit |
| What the reply says | Whatever the person remembers of your prices | Often a generic "thanks, we will be in touch" | Worked out from your own price page, every figure checked |
| Booking | A phone call the next day | A link the lead has to click | Two open times from your calendar, booked on one reply |
| When you want to step in | You are already in | Varies by product | Take over the thread and automatic replies stop |
What building it for your company involves
To build this for your business we would read your own price page and calendar and write the voice with you. Which questions it may answer, and which it leaves for you, would be your setting.
The customised speed to lead system starts with the $499 AI-Ready Audit, with your money back if it is not worth it. Then comes a speed to lead system prototype built on your real data, ready in 7 to 10 days and free of any build fee. Pricing for a production speed to lead system starts at $10,000 as a single fixed fee, and the code and accounts are yours when we hand over. Care for the speed to lead system, if you want it, is $997 a month.
Questions people ask
Does it answer anything it likes?
No. It may only use what your own pages say, and the three pages it used are listed on screen. Every dollar figure in a reply is checked against those pages before it is sent.
What if I want to answer a lead myself?
Press take over on that lead. Automatic replies stop and you write in the same thread, which keeps the whole conversation in one place.
Is the 42 seconds a real measurement?
No. The clock in the demonstration is fixed at October 13, 2026 and the first reply is stamped 42 seconds after the lead arrives. A live model call takes longer, so the recorded run is replayed, and the screen says that.
Is this answering real website leads?
No. It runs on invented sample leads for an invented roofing and gutter company, with an invented calendar. Nothing is sent, and the demonstration is not a client system.
What would this cost for our business?
A custom system starts at $10,000 as one fixed fee, quoted after the $499 audit reads your price page and calendar. You would see it answer a question you have already been asked, from your own pages, in a prototype ready within 7 to 10 days, before the build fee is due.
