Missed Call Text Back for Contractors: What It Does When You Cannot Answer
A missed call text back sends a text to a caller the moment you do not pick up, asks what they need and where, books a time and tells you once. For a plumbing, heating or roofing owner on a job site it is the difference between a lead and a voicemail nobody returns. We built a working missed call rescue system on sample data. On its sample clock the text goes out after 3 seconds and the job is booked about two minutes in; those are demonstration timings, not a promise.
The problem, in the owner's words
The owner's sentence is: "I lose jobs because I can't pick up the phone while I'm on a job." You are under a sink or on a roof. The caller needs a plumber now, rings the next company on the list, and by the time you check your phone the job is gone.
Voicemail does not fix it, because the person who is leaking water does not leave a message and wait. What fixes it is a reply while they are still holding the phone.
The job this replaces, and what it costs
The role that covers this is a receptionist or a dispatcher who answers every call, including evenings. We do not quote a pay figure for it: our role data covers AI, systems and marketing roles, and we have not read a sourced figure for a receptionist.
What you can compare is the shape of the cover. A person answers during working hours and not at 9:47 in the evening. The system below also books after hours, and holds the owner's alert until morning.
How the demonstration works, step by step
The missed call rescue system below is a demonstration system running on invented sample data. No client uses this missed call rescue system, and nothing in it is a result anyone achieved. Here is the missed call rescue system recording, and below it the same path in order.
- A call comes in and nobody picks up. A new row appears for the number with a note: texted back in 3 s.
- The caller's phone gets: "Sorry we missed your call, we are out on a job." and a question about what they need and where.
- Their reply is read and turned into a job. In the sample it becomes: kitchen sink, leaking; 22 Juniper Lane; urgency soon.
- Two open times are offered, today 3 to 5 PM or tomorrow 8 to 10 AM. The caller picks the first and it is booked with a named technician, 1 minute 55 seconds after the missed call.
- The owner gets one alert with the name, number, job, address, time and technician. In the sample it was delivered at 10:44 AM.
- An emergency skips the choice of times. A burst pipe in a basement takes the first window and moves a flexible furnace tune up to the next morning, booked 41 seconds after the missed call.
- After hours it still books. A furnace banging at 9:47 PM is booked for the next morning, and the owner's alert is held until 7:00 AM so it does not wake them.
What the sample data shows
The day's board reads: 6 calls nobody picked up, 4 booked from a text, 1 on the call back list and 1 closed with no job needed. Six rows, each showing what happened to that call.
The times are on a sample clock and the names, numbers and towns are invented, so they show the sequence, not a response time you should expect. The script that walks the path asserted 47 facts and passed.
Hire it, rent it or own it
The job a missed call rescue system does can be done by a person, by rented software or by a system you own. This table sets hiring, renting and owning a missed call rescue system side by side, using only what is on this page.
| Hire the role | Rent software | Own a system built for you | |
|---|---|---|---|
| What it costs | Pay and benefits for someone who answers every call; we cite no figure | A monthly fee for as long as you use it | One fixed fee, from $10,000, quoted after the audit |
| Late evening and weekends | Covered only if someone is on the phone | Depends on the product's settings | Books after hours and holds the alert until morning, as in the sample |
| Emergencies | A person judges each call | Usually the same flow for every call | Your rule: an emergency takes the first window and moves a flexible job |
| What you own | Nothing: the knowledge is the person's | Your number is tied to their platform | Code and accounts, at handoff |
What building it for your company involves
To build this for your company we would use your phone number, your technicians' real availability and your own rules for what counts as an emergency. The texts would be written in your voice.
The customised missed call rescue system starts with the $499 AI-Ready Audit, with your money back if it is not worth it. Then comes a missed call rescue system prototype built on your real data, ready in 7 to 10 days and free of any build fee. Pricing for a production missed call rescue system starts at $10,000 as a single fixed fee, and the code and accounts are yours when we hand over. Care for the missed call rescue system, if you want it, is $997 a month.
Questions people ask
How fast does the text go out?
In the demonstration, 3 seconds after the missed call, on a sample clock. In your version the timing depends on your phone provider, and we would measure it on your line before promising anything.
Does the caller know it is a system?
The texts in the sample are short and plain, and your version would say what it is if you want it to. We do not hide it.
What if the job is an emergency?
It skips the choice of times, takes the first window and moves a flexible job out of the way. The sample moves a furnace tune up to the next morning.
Is a plumbing company using this right now?
No. The company, the callers and the 555 numbers are invented, and the times come from a sample clock. We have built phone work for home service companies, but this system is a demonstration and not one a client runs.
What would this cost for our phone line?
The number depends on your phone provider and your calendar, so we quote after the $499 audit. A custom system starts at $10,000 and you pay it only after a prototype on your own line has worked, which takes 7 to 10 days.
