For larger firms: how a custom build runs

Built for the firms too big for a template and too lean for a hire.

Every custom build runs the same sequence. The $499 audit names the leak; the 20-minute call writes the target down in one sentence; a working prototype ships in 7 to 10 days on your real data; the fixed-fee production build follows, and it is quoted only after the prototype has performed. The three entries below are the terms of that sequence, written out.

How the prototype-before-pay structure works.

Every engagement starts with the $499 AI-Ready Audit. It names the costly workflow, ranks the fixes, and shows whether a custom build is justified at all. On the call that follows, the principal writes the constraint down in a sentence. Both sides leave with that sentence. Either party can stop here.

If both sides decide to proceed, we sign a one-page NDA (a confidentiality agreement) and the firm provides a representative slice of real data: ten anonymized matters, a hundred recent RFQs (requests for quote), a quarter of COI (certificate of insurance) requests (certificates of insurance), a season of PBC (the prepared-by-client document list) packages (the documents a client prepares for its accountant), a month of dispatch logs. Inside seven to ten days we ship back a working prototype that performs the constraint task on that real data. The firm sees the system actually work before any payment changes hands. If the prototype does not perform to the target written down after the audit, the firm owes us nothing and keeps the work product.

If the prototype performs, the fixed-fee production build begins. The fee is quoted after the audit and the prototype, based on the problem being solved, the integrations required, and how much of the handoff the firm wants to manage itself, and it is agreed in writing before the build starts. Build runs four to seven weeks, inside the firm's own Azure, AWS, or Google account under NDA (a signed non-disclosure agreement).

What we will not build.

Read

We will not run engagements for AmLaw 100 firms, Big Four accounting firms, or top-100 national P&C agencies. Those organizations have in-house innovation teams that are the right answer for them; our work is for the firms that do not have that internal bench.

We will not build a per-seat SaaS (software you rent by subscription) subscription product. We are a fixed-fee build house. The deliverable is owned by the client at handoff.

We will not run a strategy engagement that does not end with working software. A roadmap without a system is a different category of work. We refer to firms that do strategy-only work well, where appropriate.

We will not overbook. Every build gets the principal's own attention from the audit through the handoff, and we turn away qualified prospects rather than dilute that.

How much does AI consulting cost with ColabContent?

The AI-Ready Audit is $499. Fixes start at $2,997 and are done in 14 days. Ongoing care is $997 a month and can be cancelled any time. Custom builds are quoted as one fixed fee after the audit, with a working prototype on your data before you pay. There is no per-seat pricing, no retainer, and no renewal fee.

Do I have to buy anything afterwards?

No. The report and the roadmap are yours to keep. You can hire us for the fixes, do them yourself, or hand them to your own tech person using the step-by-step instructions included with every finding. Nothing is owed beyond the $499.

What exactly transfers to me at handoff?

The code, the prompts (the written instructions the AI follows), the models, the datasets, and the runbook (the operating manual). The system runs inside your own cloud account and your own logins from day one, so there is nothing to migrate later, no vendor software to keep licensing and no per-seat fee to renew.

How long does a custom build take?

The working prototype ships in 7 to 10 days on your real data. The full production build runs 4 to 7 weeks after the prototype is approved. Both timelines are agreed in writing before work begins.

Will AI replace our staff?

No. We scope against a specific bottleneck, not a headcount target. The work the system absorbs is the queue nobody wanted: after-hours calls, intake routing (sending each new inquiry to the right person), reconciliation (matching the books to the bank), and the paperwork nobody enjoyed. What the firm does with the time it gets back is the firm's decision.

What if our data is messy?

Messy is the baseline assumption. The prototype is built on your real data as it is today, not on a cleaned sample. Data cleaning is part of the build, not a prerequisite.

How is confidentiality handled?

The build runs inside your own cloud account under a signed confidentiality agreement (an NDA). Your data does not leave that environment. Nothing is shared with other clients; the system is used by you alone and owned by you.

What happens if the prototype does not work?

The engagement ends and you owe nothing. The prototype is built on your own data and judged against the target written down after the audit; if it does not meet that target, you keep the work product and we part ways without an invoice.
